Event/Fundraiser Policy

Veterans Honor Flight of Southern Illinois (“VHF”) is a non-profit organization based in Marion, Illinois which provides free flights to Washington D.C. for United States Veterans to view the memorials built in their honor. 100% of the flight is donated to the Veteran, ensuring Veterans have no cost to them. VHF uses donations to fund the flights. Costs include aircraft charter, bus charters, meals, clothing, office supplies, training, and veteran gifts. VHF and the Board of Directors aim to ensure the maximum amount of donated funds go directly to Veterans. For this reason, VHF has no employees and does not provide compensation to members of the board or those working on behalf of VHF.

Outside individuals and organizations are encouraged to conduct fundraisers for VHF. This policy governs VHF’s involvement in such fundraising events and what organizers may and may not do related to such events.

EXCLUSIVE BENEFICIARY EVENTS

Events are classified into two categories. An “Exclusive Beneficiary” event is an event in which 100% of the proceeds are donated to VHF. No other organization or charity receives any benefit from these events.

Organizers may use donated funds to cover the cost of the event, but this activity must be publicized on event advertisements and communications. VHF recommends the following verbiage:

“Proceeds from this event exclusively benefit Veterans Honor Flight of Southern Illinois, excluding event costs.”

Organizers are encouraged to seek sponsors to cover event costs and provide additional donations. Organizers may use sponsor logos on their media, but may not offer or promise sponsorship of VHF flights or other events as a result of sponsoring the fundraising event.

Exclusive Beneficiary Event organizers may use the VHF official logo on advertisements, social media, web sites, and other forms of media. The VHF logo must be used in its original form and may not be modified in any way. The official VHF logo can be downloaded from https://www.veteranshonorflight.org/logo

VHF will provide organizers with an event on its Facebook page, a calendar entry on the VHF web site including a page dedicated to the event, and will post about the event on the VHF Facebook page.

At the conclusion of the event, VHF will participate in a check presentation for the funds raised. Photos and information regarding the donation will be shared on the VHF Facebook page. If the donation exceeds $1,000, the event will be listed on the VHF web site Donors page.

DONATION EVENTS

A “VHF Donation” event is an event which VHF is provided a donation, but not 100% of proceeds are donated to VHF. The event may benefit other organizations or charities.

Donation event organizers must specify on advertisements, social media, and other forms of media that the event generates a donation to VHF only. VHF recommends the following verbiage:

“Some of the proceeds from this event will be donated to Veterans Honor Flight of Southern Illinois.”

VHF will share the organizer’s Facebook event on the VHF Facebook page. VHF will not create events on Facebook or its web site for Donation Events.

Donation Event organizers may use the VHF official logo on advertisements, social media, web sites, and other forms of media. The VHF logo must be used in its original form and may not be modified in any way. The official VHF logo can be downloaded from https://www.veteranshonorflight.org/logo. Each occurrence of the logo must be paired with the verbage “Some Proceeds Benefit” above or beside the logo.

ALL EVENTS

Events may not represent VHF or members of the board of directors in any communication and/or advertisement. Event organizers may not promise or imply travel or benefits with VHF.

VHF does not provide management or operating capital for fundraisers. Each fundraiser is the responsibility of the organizer. VHF assumes no responsibility for any costs, liability, or commitment made by event organizers or their representatives.

Any use of the logo, name, or names of board members of VHF outside the terms in this policy must be approved by the board of directors in writing.

ADDITIONAL INFORMATION

Organizers should email events@veteranshonorflight.org with event details to be published on the VHF web site and Facebook page. Please allow 72 hours for posting.

Organizers with questions regarding this policy should email evan@veteranshonorflight.org with their questions. Generally, these questions will be brought before the board of directors on the first Friday of each month for a decision.

Events not in compliance with this policy will not be promoted by VHF.
